Room Hire Terms and Conditions
1. Booking times
Standard evening room hire times begin at 19.00 hours on weekdays and 18.30 at weekends and end at 24:00. The hire period can be extended after midnight for one hour only at a cost of £50.00 if agreed and paid for 7 days prior to the event.
2. Payment and cancellation
A 50% deposit is to be paid at the time of booking. The balance must be received no later than 7 days prior to the event. In default, or if the booking is cancelled 28 days or less prior to the event, the event will be cancelled and the deposit will be forfeited unless the club is able to rehire the room for the booked date.
Hirers who self-cater for their events are not permitted to have access to the on-site kitchen. They are solely responsible for the quality of the food they provide and for complying with all food hygiene and environmental health regulations. By signing the room hire agreement the hirer agrees to indemnify SRFC from all claims arising from the provision of food for the event. The hirer is responsible for the removal of all food waste from the site. The dumping of food waste in any of the on-site waste disposal bins or elsewhere is strictly prohibited. The refundable deposit of £50 required under para 4 below also applies to the removal of food waste from site. If the hirer’s non-compliance with this condition causes SRFC losses in excess of the deposit, SRFC reserves the right to recover those losses from the hirer.
4. Liability for Damage
The hirer is liable for the cost of repairing any damage caused to the social club by the hirer or their guests that is not covered by the club’s insurance. A refundable deposit of £50 must be paid with the balance of the hire charge as security against the cost of any damage caused. If no damage is caused, the deposit will be refunded within 48 hours of the event. If damage is caused, the hirer will be invited to agree the cost of repair or replacement. If no agreement can be reached the club reserves the right to proceed with the repair or replacement and recover the cost from the hirer.
5. Birthday parties
All 18th and 21st birthday parties must have 2 registered door supervisors in attendance for the whole event. They can be supplied by SRFC on prior arrangement at a cost of £80 each. You may supply your own door supervisors at your own cost and at your own risk but they must be registered. If you decide to provide your own door supervisors you must give their names and produce evidence of their registration to the football club not later than 7 days prior to the event. If you do not do so we will either provide our own supervisors for which you will be charged or, if we are unable to provide supervisors at short notice, we reserve the right to cancel the event. Birthday parties for younger persons must be supervised by parents or other responsible adults throughout.
6. Room Decorations
All table decorations must be removed at the end of the evening or at 10:30am the day after the function unless the room is booked to another party the following day. If the room is booked for the following day all table decorations must be removed at the end of the evening and the room cleared of all refuse. If the room has not been cleared by the deadline, a charge of £50 will be levied.
If any photos are to be mounted on the walls, the party must not use blue tack, cellotape or drawing pins. Only white tack can be used. Stafford Rangers FC Ltd can provide screens for pictures/photos on request. Candles and other naked flames are not permitted.
7. Liability and Insurance
Outside contractors/entertainers (for example audio visual hire companies, bands, DJs, outside caterers) organised by the Hirer must have their own Public Liability Insurance cover up to £5 million and Current Portable Appliance Test Certificates (P.A.T) with written confirmation provided to the Events manager at least 7 days prior to the event taking place.
SRFC shall not be liable whether in negligence or otherwise for any loss of or damage to personal belongings of anyone using the premises.
8. Stafford Rangers FC Ltd reserves the right to ask a member of the hirer’s party, including the hirer, to leave the premises if deemed to be causing trouble.
